The Role As the Scheduling Coordinator, you will oversee all processes around labor planning, scheduling, and payroll submission for the hourly Crew Members. Responsibilities will include administrative coordination for time-off requests, shift trades, ongoing schedule conflicts for full-time and part-time employees. The Scheduling Coordinator will own the entirety of the scheduling and payroll cycle in Workday, and is responsible for timely processing. The ideal candidate will have meticulous attention to detail and the ability to field questions from the Crew about scheduling and payroll. This on-site hourly role reports to the Assistant General Manager and is based in Dallas, TX What you will do: Develop a shift planning process to determine the proper staffing levels for efficient labor usage based on a variety of aspects including seasonality, events, promotions, and other operational needs. Develop the weekly schedules balancing business needs, Crew Member availability, and scheduling requests and publish the schedule two weeksโ€™ in advance. Support the Operations team in the creation of daily rotation schedules for Crew that indicate positions worked throughout the day. Handle any post-hoc scheduling requests that come after the schedule has been published. Manage the payroll process of submitting worked hours and checking for any discrepancies between the scheduling system and HR payroll systems. Contribute to labor reporting and answering questions about labor actuals by pulling data from the HRIS system. Respond to staff queries about scheduling and payroll Promote and foster a mindset of continuous innovation for internal teams and external partners. What we need from you: Applicants must be at least 18 years of age to be considered for employment Demonstrated 3+ years of staff scheduling/payroll work in a fast paced retail, attraction, or F&B operation. Ability to process a large volume of data meticulously and under deadline. Knowledge of local laws regarding breaks, meal periods, overtime, holiday pay, and payroll for both full-time and part-time employees. Expertise in scheduling software (preference for Workday software) Experience with creating and analyzing labor reports. Strong knowledge of industry best practices for operational deployment planning. Ability to handle confidential and sensitive information with discretion. Excellent communication skills, both verbal and digital. Strong desire to think outside the box and innovate. Availability to support a 365-day attraction through flexible scheduling; this position balances a typical Monday through Friday work schedule with evening and/or weekend event support.
