Responsibilities:

  • Manage the Founder’s calendar, schedule meetings, prioritise tasks, and ensure smooth daily operations.
  • Handle calls, emails, and correspondence on behalf of the Founder, ensuring professionalism, discretion, and timely responses.
  • Prepare agendas, briefing notes, and follow-up actions for internal and client meetings, and attend meetings as required.
  • Assist the Founder in liaising with clients and vendors by scheduling follow-ups, tracking deliverables, and managing information flow.
  • Organise travel arrangements, itineraries, and accommodations for the Founder’s professional and personal engagements.
  • Support the Founder with project management tasks such as tracking budgets, timelines, and deliverables across multiple events.
  • Safeguard sensitive client, vendor, and company information with integrity and discretion.
  • Handle lifestyle management tasks (errands, personal scheduling) to ensure the Founder can focus on strategic and planning priorities
  • Anticipate the Founder’s needs, identify potential issues, and recommend solutions to maintain efficiency and flow.
  • Other responsibilities as assigned by management.


Requirements:

  • Bachelor’s degree in Event Management, Business Administration, or related fields
  • 1–2 years’ experience in vendor coordination or events operations.
  • Strong written and verbal communication.
  • Strong organisational and multitasking skills.
  • Discretion and ability to handle sensitive/confidential information.
  • High emotional intelligence and strong interpersonal skills
  • Ability to work independently and prioritise tasks.
  • Proficiency in Microsoft Office Suite and Google Workspace.
  • Experience managing executive calendars and scheduling tools.
  • Knowledge of event planning processes and vendor coordination.
  • Familiarity with document preparation (proposals, contracts, briefs)
  • Ability to support both executive and personal lifestyle tasks.
